The platform
From a verified supplier to the ledger. Checked at every step.
Supplier checks, ordering, deliveries, invoices, approvals and payments in one place, with one record of each fact. The agents work on top of it, so the basics have to be right.
Every supplier checked before the first order, not after the first payment.
Every new or changed supplier is checked against Companies House, HMRC VAT, a bank modulus check and Confirmation of Payee. It's also matched against the suppliers you already have, so the same one is never set up twice. A change to bank details or company number holds payments until it's verified again.
- Companies House: the company exists, is active and is who it says it is
- HMRC VAT: the VAT number is valid and belongs to that name
- Bank modulus and Confirmation of Payee: the account is real and in the supplier's name
- Deduplication: one supplier, one record, however it's spelt
A swapped bank account or a duplicate supplier is stopped at set-up, not found after the payment.
Buy from the catalogue you agreed, at the price you agreed.
Order hub and baskets per unit and supplier account. Purchase requests with budgets and cost centres. One master product record across suppliers, with units and pack sizes normalised.
- Delivery schedules per account: cut-offs, windows and frequency
- Amazon Business punch-out, so tail spend lands in the same controls
- Category hierarchy mapped to your GL codes, with ONS price benchmarks
You know the moment a price or a catalogue line slips, on the order and not only on the invoice.
Every short delivery becomes a credit you can see, chase and prove.
Goods receipts check deliveries against the order and record shortages and damage with evidence. Order, delivery and invoice are matched three ways. A shortage becomes an expected credit.
- Receipt state comes from the receipt records, never a tick box
- Approval asks "arrived in full?" when nobody checked an order in
- The Credits agent chases what hasn't arrived
Credits you're owed stop disappearing between the kitchen door and the statement.
Forward it, photograph it or drop it in a folder.
Email intake, drag and drop, cloud folders and local folder sync. Every document is read, classified, extracted, validated and matched to a purchase, with a final status on each one.
- Invoices, credit notes, delivery notes, orders, receipts and statements
- E-invoices read natively alongside PDFs and photos
- A backup model provider, so an outage doesn't stop extraction
Each document becomes a purchase with the lines, the VAT and the supplier account already right.
Nobody approves from memory.
Approval chains with levels, quorum, unit and team scope, thresholds and no self-approval. The rule that applies is on the screen, and a held invoice shows its reason and the one fix that clears it.
- Straight-through approval when order, delivery and invoice agree
- Overrides need a reason code, and every one is an audit event
- Overdue approvals re-alert once per agreed period, not every hour
Finance can see who approved or held each invoice, and why.
Paid means paid.
Bank statements pulled or uploaded and matched to invoices and credits. ERP statements reconciled to ours. Payment runs show what's due, what's held and whether paying early is worth it.
- Marking paid needs a bank line, an ERP record or a person
- Bank, ERP and invoice disagreements become findings with the fix
- Sync health per stream, before month end finds the gap
There's a bank line or an ERP record behind every invoice you call paid.
Keep your accountant's system. We make what goes into it right.
A two-way connection. OmniPATH reads your invoices, codes and bank activity, then writes approved invoices and credits back with GL codes from your category map and cost centres from your units. A lapsed connection tells you before it costs you.
- Xero, Sage and QuickBooks live, reading and writing
- Your chart of accounts matched once at setup, changeable any time
- Per-stream health: healthy, stale or faulted
Month end stops being a tidy-up, because the coding was right when it went in.
Nothing reaches your books until it’s right.
OmniPATH is the gate between your suppliers and your accounting system. Every document is validated, cleaned and enriched on the way in, so your books only ever receive bills that are approved, coded and evidenced. Better data in means better books, better VAT returns and agents with something real to work on.
- 01IdentityIs this a real, verified supplier? Is it the one we think it is?
- 02DuplicatesHave we seen this invoice, or this supplier, before?
- 03VATIs the rate right for what was bought?
- 04Maths and datesDo the lines add up, and is the date real?
- 05Lines and codingIs every line read and coded to the right account and unit?
Every document is checked for identity, duplicates, VAT rate, maths and dates before it can be approved. Problems are held with a named reason and one fix.
Duplicate supplier records are flagged before they split your spend. Products are matched across suppliers and merged, dry-run first and reversible, so one product has one price history.
Header-only bills get their lines and every line gets a category mapped to your GL code. Suppliers are verified against Companies House, HMRC and their bank.
Only approved, coded and evidenced bills are written back to Xero, Sage or QuickBooks. Sync health tells you the moment a connection fails.
of profiled spend belonged to suppliers keyed under more than one name: one retailer four ways, a food supplier twice, another with a typo.
supplier contacts in the accounting system carried no spend in the sealed year. Every dormant record is a door left open.
of a year's ledger spend was a total on a bill. The largest supplier, nearly a third of profiled spend, had no lines at all.
of spend seen is VAT at stake on rate mismatches. The customer has already actioned 4.0%; 4.6% is still open.
of the year's bills carried a date still in the future when the baseline was sealed. Each one pulls spend into the wrong period.
of profiled spend went to supermarkets, outside any agreed price or catalogue.
From the sealed day-zero epoch of one live single-site hospitality operator (sealed 10 Sep 2026, covering the previous 12 months) and the findings read on 23 Oct 2026. Supplier groupings are our reading of the sealed spend records. How we measured this
The rest of the operator’s day.
Receipt capture by photo or email, expense policies, company card matching and reimbursements. Out-of-policy spend is a finding like any other.
Financial, category, budget and processing views that load card by card. Every figure comes from the server, so it's the same on every screen.
Each person's day: what needs me, what's late, what arrived. Notifications by app, email, push, Slack or Teams.
Works inside the tools you already run.
Your accounting system stays the ledger. Connections refresh themselves and tell you before a lapsed one costs you.
Built so a mistake can’t cross a line.
Every read is scoped to your organisation at the data layer, and an unscoped read is refused.
Connection tokens and bank details are encrypted. No personal data is written to logs.
Each state change is an event with who, where from and why, so a purchase's journey can be replayed.
A control only counts once a test proves it fails before it passes, and every release is blocked on those tests.
Run one of your purchases through it end to end.
Bring an order, a delivery note and the invoice. We'll follow it to the ledger on the demo.
