01Card Registry

Register once. Recognised forever.

Each company card is registered in OmniPATH with its network (Visa, Mastercard or Amex), the last 4 digits of the card number and the cardholder it belongs to. That record becomes the anchor for every transaction and every expense from that card.

Digital wallets - Apple Pay and Google Pay - are linked to the underlying physical card at registration time. OmniPATH resolves wallet tokens back to the registered card, so there are no orphaned transactions at month end.

02Automatic Matching

Three checks. One confident match.

When an expense is submitted, OmniPATH runs a three-point match against the card registry. First it checks the payment method recorded on the receipt. Then it matches the last 4 digits of the card used. Finally it confirms the amount matches the transaction feed.

Digital wallet transactions - where the last 4 on the receipt shows the wallet token, not the physical card - are resolved back to the registered card automatically using the wallet-to-card link set at registration.

Not every card swipe is the same. OmniPATH classifies each transaction by card type and business purpose, and routes the reimbursement decision accordingly.

Company card used for business expense - post to ledger, no reimbursement needed. Personal card used for a business expense - pay the employee back. Company card used for a personal expense - recoverable from the employee. The system handles all three paths natively, with no manual triage required.

Can OmniPATH handle cards from multiple networks at the same workspace?
Yes. There is no limit on the number of cards registered and no restriction to a single network. A typical workspace has a mix of Visa cards for most employees, a Mastercard for one team and an Amex corporate card for the finance team - all registered and matched independently within the same environment.
How does Apple Pay matching work when the last 4 on the receipt shows the wallet token, not the card number?
Apple Pay issues a unique Device Account Number (DAN) for each card-device combination. That DAN ends in different digits to the physical card. At registration, you link the Apple Pay wallet to the physical card in OmniPATH. When a receipt shows the Apple Pay last 4, OmniPATH resolves it through the wallet-to-card link and matches it to the registered physical card. The audit trail records both the DAN used and the underlying card it resolved to.
What happens if an employee uses their personal card by mistake?
The expense submission form asks which card was used. If the employee selects their personal card for what is otherwise a business expense, OmniPATH classifies it as a personal-card business expense and routes it to the employee reimbursement queue automatically. No manual triage from finance needed. The audit trail records the card type used at submission.
Can cards be suspended or closed without losing transaction history?
Yes. Cards can be set to suspended (temporarily blocked from matching new transactions) or closed (permanently retired). All historical transactions and matched expenses remain fully visible and reportable. Closed cards appear in a separate archive view. This is important for when employees leave - their card history stays auditable even after the card is decommissioned.
