Best procurement and AP automation software for UK manufacturers (2026)

Seven systems UK mid-sized manufacturers actually shortlist - compared honestly, including what your ERP already covers and where the money actually leaks.

Last updated: October 2026

Manufacturers have a procurement problem that looks solved and isn't. Your ERP - Sage 200, Business Central, NetSuite, Epicor, SYSPRO - handles direct materials well: PO-backed, stocked, received against a works order, matched. That's the spend everyone watches. The leak is everywhere else: MRO consumables, tooling, PPE, site maintenance, contractors, utilities, IT, packaging bought off-contract by someone who needed it today. RS's 2026 Indirect Procurement Report found organisations work with an average of 83 MRO suppliers (down from 92), at around £77 to process each order - and only 37% know their own cost.

The thing most comparison pages skip is that you are not shopping for a second ERP. The question is whether you need a control layer for the spend your ERP never sees - requisitions from the shop floor by people who'll never hold an ERP licence, approvals on a phone, budgets by cost centre and plant, invoice capture for the non-PO long tail, and supplier bank-detail verification before a mandate-fraud payment goes out (UK Finance recorded 2,305 invoice and mandate scam cases in 2025, with losses of £41.3m). Some systems on this list are full source-to-pay suites that will happily replace your purchasing module. Most manufacturers under £150m turnover don't need that, and shouldn't pay for it.

We've compared seven systems UK mid-sized manufacturers actually evaluate, with Basware and Coupa noted as the enterprise tier. Yes, OmniPATH is ours - marked clearly, verdicts kept honest. Methodology here.

The shortlist - and who owns it

System Type Owned by Pricing signal Best at
OmniPATH Indirect spend control + AP + intelligence (sits beside your ERP) Independent, UK From £35/mo; multi-site £250/site/mo + per doc Approval before spend across plants, supplier verification, AI price-drift and anomaly detection
Zahara SME P2P + AP Founder-owned, UK (Bath) £159-£499/mo published Sage 200 / Business Central native, budgets by business unit
Compleat Software (iCompleat) SME P2P + AP Privately owned, UK Quote-based, per invoice Sage 50/200/Intacct heritage, Amazon Business and RS punchout for MRO
Precoro Procurement-first P2P VC-backed, US/Ukraine, London office From $499/mo (Core), $999 (Automation) Requisition-to-PO discipline, supplier onboarding, budgets
Yooz AP automation Private (ITESOFT founder's holding), France From £129 in the UK, per document, unlimited users Invoice volume; available through selected Sage products from July 2026
Medius Mid-market/enterprise AP + add-on procurement Marlin Equity (sale explored 2025-26) Quote-based Agentic AP at scale, Infor/Dynamics/NetSuite connectors
Esker Source-to-pay + order-to-cash suite Bridgepoint / General Atlantic (private since Mar 2025) Annual subscription by document volume AP + AR + sourcing on one platform, UK base in Derby

Enterprise tier, noted not compared: Basware (Accel-KKR; quote-based, with G-Cloud listings priced per transaction) and Coupa (Thoma Bravo; enterprise pricing, typically five figures a year and up). Both are credible above ~£100m turnover and over-specified below it.

1. OmniPATH - the control layer beside your ERP (our platform)

OmniPATH is not trying to be your MRP. Direct materials, works orders and stock stay in the ERP. What OmniPATH governs is everything the ERP doesn't see: a maintenance engineer requesting a bearing from a phone, an approval routed by cost centre and plant before a PO exists, budgets enforced at the request, consumables and contractor spend matched against delivery notes and invoices, and the non-PO long tail captured from email and coded automatically. Every approved record posts to Sage, Business Central, Xero or QuickBooks, so finance works from one ledger.

Three things matter for manufacturers specifically. Supplier verification: four checks - Companies House, HMRC VAT, bank modulus and Confirmation of Payee - before a first payment, which is the structural defence against mandate fraud. Multi-plant visibility: spend by site, cost centre and category in one view, with LEDGE, the AI agent, answering "which plant is over budget on MRO this quarter?" in plain English. Price intelligence: cross-supplier price comparison (spend intelligence) normalises what three suppliers call the same consumable - different pack sizes, units, descriptions - so you see true unit price and get told when one drifts.

Where we draw the line - by design: we don't do MRP, BOM-driven purchasing or quality management. If your pain is direct materials, fix it in the ERP. We don't run a supplier EDI exchange or a sourcing marketplace. Payment initiation is on the roadmap; today the payment executes in your ledger. No app-store download - the mobile experience is full-function in the browser, which on a factory floor is usually the point.

Pricing is published, per site and per document, with set-up, training and UK support included. Payback is typically under 30 days (methodology).

Choose if: you run two or more sites, your ERP controls direct spend but indirect and MRO is leaking, and you want requests approved before money is committed rather than discovered at the invoice.

2. Zahara - best value P2P for Sage 200 and Business Central shops

Zahara is built in Bath and owned by its founders. It covers requests for stock, expenses and capital, multi-step approvals with escalation, budgets by division or business unit, mobile goods receipting, 3-way matching against orders and receipts, AI invoice capture at line level and payment runs. Native connectors for Sage 50, Sage 200 (via an on-premise sync), Business Central, Sage Intacct, Xero, QuickBooks and NetSuite. Pricing is published in GBP: Teams £159, Business £289, Enterprise £499 a month, with limits on users, POs and invoices at each tier.

Limitations: some reviewers report OCR errors on multi-page invoices and a learning curve. Business units are capped per tier (two on Teams, ten on Business), which matters for multi-plant groups. Supplier verification isn't a headline feature on its site, and manufacturing is listed as a sector rather than evidenced with references.

Choose if: you're a single-entity or small-group manufacturer on Sage 200 or BC, want GRN and matching, and price is the deciding factor.

3. Compleat Software (iCompleat) - the Sage-native UK incumbent

Compleat has been building purchase-to-pay software for UK finance teams for more than 15 years: invoice capture in any format with duplicate checks and supplier bank validation, AP automation, online buying with pre-order approval, and full P2P with goods receipting, 2 and 3-way matching, budgets and commitment accounting. Its MRO angle is real: punchout to catalogues including Amazon Business and RS Components, so engineers buy from approved sources inside the approval flow. Integrations span Sage 50 and Intacct, Xero, QuickBooks, NetSuite and Dynamics; confirm Sage 200 support directly. Around two months to implement, according to reviewers.

Limitations: a small company whose recent public content leans towards education trusts and charities rather than manufacturing; four tiers priced on quote, with capture charged per invoice; few independent reviews.

Choose if: you're deep in the Sage ecosystem, want catalogue-controlled MRO buying and prefer a long-established UK vendor.

4. Precoro - procurement discipline first

Precoro is a procurement-first platform: requisitions, POs, receipts, invoices, payments, with 2 and 3-way matching, automated approvals, budgets, contract and expense management in Core, and inventory, punchouts, supplier onboarding, supplier portal, RFPs and real-time budget tracking in Automation. Pricing is published - from $499 a month (Core) and $999 (Automation), billed annually, GBP accepted - with standard onboarding quoted at four to six weeks. Connectors for Xero and QuickBooks on Core; Business Central, Sage Intacct and NetSuite on Automation and above; London office. Reviewers rate it highly for onboarding and support.

Limitations: no Sage 50/200 connector on its published list (checked October 2026). Some reviewers flag too many steps and notifications and no bulk account selection. It's an inventory module, not MRP, so don't buy it expecting shop-floor stock. No UK manufacturing reference found.

Choose if: you're on Business Central, Intacct or NetSuite and your priority is requisition-to-PO rigour and supplier onboarding rather than AP throughput.

5. Yooz - AP automation by volume, now available through Sage

Yooz is an AP specialist: AI capture, GL coding, PO matching, approval workflows and export, from £129 in the UK, priced by document volume, with unlimited users and a 15-day trial. It claims 250+ system connectors including Sage Intacct, Dynamics 365, NetSuite, QuickBooks and Xero, and in July 2026 it became available through selected Sage products in the UK and Ireland. Reviewers like the ease of use; G2 scores it well on a large review base.

Limitations: it is strongest at the invoice. Purchase requests, budget monitoring and 2 or 3-way matching against delivery receipts are offered, but its centre of gravity is AP rather than requisition control. Manufacturing isn't a showcased sector. Limited dashboards are a common reviewer complaint.

Choose if: your problem is invoice volume and coding, your ERP already controls purchasing, and you're a Sage house.

6. Medius - the step-up for £50m+ multi-plant groups

Medius sells "autonomous AP": a Copilot for approvers, GenAI supplier conversations, ML fraud and risk detection and a claimed 97% line-level auto-match, with procurement, sourcing, contracts, supplier onboarding, payments and expenses as add-on modules. UK offices in London and Manchester, and UK manufacturing references including Charterhouse Holdings (Dynamics 365, four-month implementation), Thorlux and Marshalls. Connectors cover Dynamics 365, NetSuite, Oracle, SAP and Infor (M3, LN, SyteLine) - the ERPs larger manufacturers actually run.

Limitations: quote-based with no published pricing, and implementations run to months rather than weeks. Sage 50/200, Xero and QuickBooks aren't on its published connector list (checked October 2026). Ownership is in flux: Marlin Equity was reported in October 2025 to be exploring a sale at around $2bn.

Choose if: you run multiple plants on a mid-market or enterprise ERP, have an AP team to automate rather than a bookkeeper, and want the deepest AI-led AP in the mid-market.

7. Esker - AP, AR and sourcing on one platform

Esker (Lyon; UK base in Derby) covers source-to-pay and order-to-cash together, which is its distinctive pitch to manufacturers: Silentnight, the UK's largest bed maker, chose it for AP, expenses and cash application in 2025. It has Business Central and Dynamics 365 Finance connectors (November 2024), Sage X3, SAP, Oracle, NetSuite and Infor, owns Market Dojo for e-sourcing, and launched an agentic framework in September 2026. Taken private by Bridgepoint and General Atlantic in March 2025.

Limitations: an annual subscription sized by document volume, with implementation billed separately - this is a programme, not a sign-up. Sage 50, 200 and Intacct aren't on its published connector list (checked October 2026). The reviewer base is mid and large companies.

Choose if: you're a £50m+ manufacturer that wants invoices in, invoices out and sourcing from one vendor and has the capacity to run a six-month implementation.

How to choose

  1. What does your ERP already do? Sage 200 has purchase order processing with GRNs and 3-way matching; Business Central has POs, blanket orders and amount-based approvals but no real requisition module; NetSuite matches natively but approves only once a PO exists. Buy for the gaps - indirect requisitions, non-ERP users, mobile approvals, non-PO capture, budgets by cost centre, supplier verification - not for what you've already paid for.
  2. Direct or indirect? If direct materials are the problem, fix the ERP or its MRP add-on. If it's MRO, contractors, utilities and the long tail, you need a control layer (OmniPATH, Zahara, Compleat, Precoro) rather than a suite.
  3. Control before or after the spend? AP-first tools (Yooz) are built around the invoice, though Yooz also offers POs and receipt matching. P2P platforms (OmniPATH, Zahara, Compleat, Precoro, Medius, Esker) enforce budget and approval before a PO exists and match goods-in to invoice afterwards. Ask specifically whether 3-way matching uses a goods receipt or just the PO.
  4. How does pricing scale across plants? Per-site and per-document (OmniPATH), tiered by users, POs and business units (Zahara), per invoice (Compleat), platform fee (Precoro), per document (Yooz), quote (Medius, Esker). Model a plant-count doubling before you sign.
  5. Who checks the supplier's bank details? Mandate fraud is a payment you authorised to a supplier you trust, into an account you didn't check. OmniPATH runs structured pre-payment verification; Compleat validates supplier bank details; Yooz offers bank verification through YoozProtect; check what the others provide.
FAQs

Procurement and AP for manufacturers - answered

Do I need procurement software if I already have Sage 200 or Business Central?
For direct, PO-backed, stocked purchasing, usually not - both handle POs, receipts and matching. The gap is indirect and MRO spend raised by people who don't use the ERP, approvals from the shop floor, budgets by cost centre, invoice capture for non-PO spend and supplier verification. That's what a control layer like OmniPATH, Zahara or Compleat adds on top, posting results back to the ERP.
What does procurement and AP automation cost for a UK manufacturer?
Published entry points: Yooz from £129 a month, Zahara from £159, OmniPATH from £35 (multi-site £250 per site per month plus a per-document fee), Precoro from $499. Compleat, Medius and Esker quote. Basware and Coupa quote at enterprise level. Manual processing costs around £17.50 per invoice (methodology), so most multi-plant manufacturers see payback inside a quarter.
Which platforms do true 3-way matching against a goods receipt?
OmniPATH, Zahara, Compleat, Precoro, Medius and Esker all match invoice to PO and to a recorded goods receipt, and Yooz advertises 2 and 3-way matching against delivery receipts too. Ask any vendor to demonstrate the GRN step on your own documents.
How big is the indirect and MRO leak in UK manufacturing?
RS's 2026 Indirect Procurement Report found organisations work with an average of 83 MRO suppliers (down from 92), at around £77 to process each order, and that only 37% know their own processing cost.
Does OmniPATH replace my ERP's purchasing module?
No - deliberately. OmniPATH sits beside the ERP: it controls indirect, MRO and non-production spend from request to posted invoice, verifies suppliers and provides the spend intelligence, then posts to Sage, Business Central, Xero or QuickBooks. Direct materials, works orders and stock stay where they are.
Which systems help prevent invoice and mandate fraud?
UK Finance recorded 2,305 invoice and mandate scam cases in 2025, with losses of £41.3m. OmniPATH verifies every supplier against Companies House, HMRC, bank modulus and Confirmation of Payee before payment. Compleat validates supplier bank details, Yooz offers bank verification through YoozProtect and Basware's 2026 acquisition of Trustpair adds bank-account verification at enterprise level.
