01Classification

Every line gets a classification.

Each transaction on the statement is classified as Business, Personal or Unclassified. Business lines go to the GL. Personal lines are flagged for employee recovery. Unclassified lines block the close gate - finance cannot close the period until every line has a classification.

OmniPATH pre-classifies lines automatically using vendor history and category rules from the expense module. Lines the system is unsure about surface in a review queue for finance to handle - typically just a handful per statement.

The close gate is a hard check that runs before finance can lock the period for a card. All three conditions must pass: every line is classified, every business line has a reason code or GL account, and the variance between classified amounts and the statement balance is zero.

If any condition fails, the gate shows exactly which lines are blocking it. Finance can jump straight from the gate to the offending lines and resolve them inline - no hunting through the statement manually.

Rolling balance. Per card.

Credit cards carry a rolling liability - the balance you owe the card issuer at any point in time. OmniPATH tracks this balance per card as statements are uploaded and payments are recorded, so finance always knows the current liability position without opening a spreadsheet.

The liability balance feeds the card summary dashboard, which shows all registered cards side by side with their current balance, last payment date and next statement due date. Useful for cash flow planning and for making sure no payment is missed.

FAQs

Credit card reconciliation - answered.

Can I upload statements from multiple cards in the same period?
Yes. Each statement is uploaded against a specific registered card and period. OmniPATH keeps them separate - separate classification queues, separate close gates and separate liability balances. The card summary dashboard gives you a combined view across all cards, but the underlying data stays card-level. This matters at audit time, when auditors typically want to see the statement-level trail for a specific card.
What happens to transactions the system cannot auto-classify?
They surface in the Unclassified review queue, and they block the close gate. Finance sees exactly which lines are pending, can click through to classify each one inline - Business or Personal - and can add a reason note. Once the last unclassified line is resolved the close gate re-checks automatically. There is no way to lock a period with an unclassified line remaining.
How does the variance check work - what exactly does it compare?
The variance check compares the sum of all classified line amounts (Business + Personal + any Void lines) against the statement balance as uploaded. If there is a penny difference, the gate will not pass. The most common cause is a line that was edited during classification without updating the amount. OmniPATH shows the exact variance amount and the lines that make up the discrepancy so finance can identify the source quickly.
Does the liability tracking connect to our accounting system?
Yes. When a statement period is locked and payment is recorded in OmniPATH, the liability movement posts to your connected accounting system (Xero, QuickBooks, Sage or Dynamics) as a balance sheet entry - reducing the credit card liability account by the payment amount. Business-classified lines post as expenses against the relevant GL accounts. Personal-classified lines post as employee debts. The accounting entries are generated automatically at the point of lock.
